How Ross Bindery, Inc. collects, uses, shares, and retains information submitted through this website and through the binding and finishing work we perform for our customers.

Who This Policy Covers
Ross Bindery, Inc. (“Ross Bindery,” “we,” “us,” or “our”) is a commercial trade bindery in Santa Ana, California. We provide binding and finishing services to commercial printers, print brokers, publishers, and other print-industry businesses.
This policy applies to information collected through this website and to information our customers send us in the course of getting a project quoted, scheduled, and produced. It does not apply to any other company’s website or services, including sites we may link to.
Our services are directed to businesses rather than to individual consumers.
Information We Collect
Information you give us
When you submit the project intake form on this site, we collect what you enter, which may include:
- Your name, company name, email address, and phone number
- Whether you are an existing customer, and your account number if you provide one
- Project details — project name, quantity, finishing requirements, sizes, stocks, page count, binding edge, dates, delivery and packaging instructions, and any notes you add
- Files you attach, such as artwork, diagrams, photographs, purchase orders, or prior job information
We also collect the same kinds of information when you contact us by telephone, email, or in person about a project.
We do not take payments through this website, and we do not collect payment card or bank details through it.
Information collected automatically
When you submit the intake form, the submission also records the web address that referred you to this site and any campaign tags present in the page URL, along with the date and time. This is included in the notification our estimating team receives so we know how a request reached us.
This website does not run analytics or advertising trackers, and it does not set cookies of its own.
Services that load from other companies
Two parts of this site load content from Google: the typefaces used across the site, and the map on the contact section. When your browser loads those, Google receives your IP address and standard request information, and the embedded map may set cookies under Google’s control rather than ours. Google’s handling of that data is described at policies.google.com/privacy.
Customer Production Materials
To quote and produce a job, customers send us artwork, printed sheets, files, and job documentation. Occasionally those materials contain personal information belonging to our customer’s own client or to the people a printed piece is addressed to.
Where that happens, we handle the material only as our customer directs us to. We use it to produce the job and for no other purpose. We do not sell it, we do not share it beyond what producing the job requires, and we do not use it for our own marketing.
You are responsible for making sure you have the right to send us the materials and any personal information they contain, and that doing so is permitted under the agreements and laws that apply to you. Please do not send us personal information that a project does not actually require.
How We Use Information
We use the information described above to:
- Review a project for production feasibility and respond to your request
- Prepare estimates and scheduling information
- Produce, finish, and complete the work
- Arrange pickup, delivery, or shipping
- Communicate with you about a job in progress and keep records of work we have done
- Meet our legal, tax, and record-keeping obligations
We do not sell personal information. We do not use the information you submit to send marketing unrelated to your inquiry.
How Long We Keep It
We keep project inquiries and business contact information for as long as we have an active or reasonably anticipated working relationship, and afterward for as long as we need it for our records, to handle repeat and reprint work, and to meet legal and accounting requirements.
Production files and job materials are kept after a job completes so that reruns and reprints can be matched to the original work. Customers may ask us in writing to delete files we hold for them, and we will do so unless we are required to keep them.
Ross Bindery should set specific retention periods for inquiry records and for production files, and state them here in place of this note.
Security
We use reasonable measures to protect the information we hold, including limiting internal access to files to the people who need them, using password-protected systems and accounts, and relying on established hosting and email providers with their own security practices.
No method of transmitting or storing information is completely secure, and we cannot guarantee absolute security. Please do not send us sensitive personal information — such as government identification numbers, financial account numbers, or health information — through this website.
California Privacy Rights
California residents may have the right, subject to the conditions and exceptions in California law, to:
- Know what categories of personal information we have collected and how we use and disclose it
- Request access to the specific personal information we hold about them
- Request correction of inaccurate personal information
- Request deletion of personal information
- Not be treated differently for exercising these rights
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
To make a request, contact us using the details in Section 14. We will need to verify your identity before we act on a request, and we may not be able to act on requests concerning material a customer sent us, since in that case the customer — not Ross Bindery — decides how the information is handled. Where that applies we will point you to them.
UK and European Rights
This section applies if you are in the United Kingdom, the European Union, or the European Economic Area, and the UK GDPR or EU GDPR applies to our handling of your information.
Who is responsible
For information you submit through this website, Ross Bindery, Inc. is the controller. For material a customer sends us to produce a job, our customer is the controller and Ross Bindery acts as a processor on their instructions, as described in Section 3.
Why we may lawfully use your information
- Contract
- To respond to your enquiry, prepare an estimate, and produce work you have asked us to do. Article 6(1)(b).
- Legitimate interests
- To run and secure our business, keep records of the work we have done, and handle repeat and reprint jobs — balanced against your rights. Article 6(1)(f).
- Consent
- To load the Google map. You give this by choosing to allow it, and you may withdraw it at any time from the footer, with no effect on anything done before you withdrew it. Article 6(1)(a).
- Legal obligation
- To meet tax, accounting, and other legal requirements. Article 6(1)(c).
We do not use your information for automated decision-making or profiling, and we do not sell it.
Your rights
Subject to the conditions and exemptions in the law, you may ask us to:
- Give you access to the personal data we hold about you, and a copy of it
- Correct data that is inaccurate or incomplete
- Erase data where we no longer have grounds to keep it
- Restrict how we use it while a concern is resolved
- Provide it in a portable, machine-readable form, or send it to another organisation
- Stop using it where we rely on legitimate interests, by objecting
- Withdraw consent you have given
Contact us using the details in Section 14. We will respond within one month, and will tell you if we need longer because a request is complex. There is no charge unless a request is manifestly unfounded or excessive.
Where your information goes
Ross Bindery operates in the United States, so information you send us is handled there. Our hosting and email providers may also process it in the United States. If we transfer personal data out of the UK or EEA, we rely on the safeguards permitted by law, such as the European Commission’s Standard Contractual Clauses and the UK Addendum, together with the transfer terms in our providers’ data processing agreements.
Complaints
Please raise a concern with us first — we would rather fix it. You also have the right to complain to a supervisory authority: in the UK, the Information Commissioner’s Office; in the EU, the authority in the country where you live or work.
Ross Bindery should confirm whether it knowingly offers services to customers in the UK or EEA. If it does, it should also confirm the transfer mechanism above with its advisors and consider whether an EU or UK representative is required under Article 27.
Children
This website and our services are meant for businesses and the people who work for them. They are not directed to children, and we do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us and we will delete it.
Third-Party Links
This site links to other companies’ websites, including mapping and directions services. We do not control those sites and are not responsible for their content or their privacy practices. Their own policies apply once you leave this site.
Changes to This Policy
We may update this policy as our practices, services, or legal obligations change. The current version is always posted on this page, and the effective date at the top tells you when it last changed. Please check back from time to time.
